1. Create your workspace
- Go to the sign-up page and fill in your company name, business location, your name, work email and a password.
- Your business location sets your workspace's default currency and time zone (for example, the Philippines sets PHP and Asia/Manila). You can change both later under Security Policy, until your books contain posted amounts (see Workspace settings).
- Choose a strong password: at least 12 characters with upper- and lower-case letters, a number and a symbol.
Your workspace is created immediately with a 7-day free trial, every app switched on, a chart of accounts, a main warehouse and 119 permissions grouped into ready-made roles. You are the workspace owner.
Each sign-up creates a completely separate workspace. Nobody outside your workspace can see your records, and your team can't see anyone else's.
2. Turn on two-factor sign-in (do this first)
Open My account → Two-Factor, scan the code with any authenticator app (Google Authenticator, Microsoft Authenticator, 1Password, Authy…), type the 6-digit code to confirm, and save your recovery codes somewhere safe. Full walkthrough: Security & two-factor.
3. Find your way around
- Overview is your dashboard: pipeline, sales this month, receivables and items waiting for your approval, depending on what you have access to.
- All apps lists every app by category. The sidebar only shows apps that are switched on and that your roles allow you to open.
- Administration (owners and administrators): Users, Roles & Access, Security Policy, Audit Trail and Security Events.
- My account: Billing, My Security, Two-Factor and API Tokens.
- The banner at the top counts down the days left in your trial.
4. Choose your apps
Open All apps and switch off anything you don't need. Turned-off apps disappear from the menu and their pages and API are blocked for everyone in your workspace. Their data is kept, so switching an app back on brings everything back. Contacts is always on because other apps depend on it.
5. Set up your business basics
| Do this | Where |
|---|---|
| Add customers and vendors | Contacts → New contact |
| Add what you sell or stock | Inventory → Products (set price, cost, tax rate, unit and reorder level) |
| Add more warehouses | Inventory → Stock levels |
| Review your chart of accounts | Accounting → Accounts |
| Add departments and employees | Employees |
6. Invite your team
Go to Administration → Users → New user, enter their name and email, choose one or more roles and set a temporary password. Share the temporary password through a different channel than the email address (for example, in person or by phone). At first sign-in they must choose their own password. More in Users, roles & permissions.
7. Try a complete flow
- CRM: create a lead and drag it across the pipeline to Won, then convert it to a quotation.
- Sales: confirm the quotation (stock is checked), then create the invoice.
- Invoicing: post the invoice and register the payment. The accounting entries are written for you.
- Accounting → Reports: see the result in your income statement and balance sheet.
8. Before your trial ends
Open Billing to see the days left and subscribe. If the trial ends without a subscription, your data is kept but the apps pause until you subscribe. Details: Free trial, billing & your data.
